Selling Surplus On Location

Note: To reduce traffic on campus and in University buildings, onsite sales at UW.–Madison are reserved for large, sensitive, or high-valued equipment. If you have questions about whether your items are appropriate for an onsite sale, please contact SWAP.

To submit a request to sell property onsite, follow the instructions below.

  1. Use the Surplus Request form and choose “Online Auction – Items on Location” option.
  2. Fill in “Requester contact information” fields, including an MD account number. If you do not know your department’s MD account, contact SWAP for assistance.
  3. Fill in “Surplus information” fields, including asset tag IDs.
  4. Upload photos of the item(s). It is advised you take pictures of each side of the item and include close-up photos of important components, accessories, or defects.
  5. In the “Additional comments” section, include information about the item(s) for the auction listing.  The additional information may include:
    1. Make/Model information
    2. Approximate dimensions and/or weight
    3. Functionality
    4. Cosmetic condition
    5. Starting price and auction length
    6. Contact information for someone onsite
    7. Viewing (if applicable) and pick-up instructions
  6. Click Submit.

Once we have all necessary information, SWAP will list the item on the auction site and will send you a link to the listing. You will be contacted once the auction has ended and the winning bidder has paid.

Your department’s MD account number will be credited for a percentage of the sales revenue. The default percentage of revenue returned is 90%, but this number will vary depending on final sale amount and costs incurred by SWAP in conducting the auction.
